Setup: Contracts

The Manage Contracts page allows you to create and manage subcontractor relationships with other PositiveWare users. This includes both users to whom you subcontract and users who subcontract to you.

PositiveWare allows users to assign Plans and Actions to their subcontractors, enabling you to manage all of your company's professional service activities within PositiveWare, should you wish.

Adding Subcontractors to Your Account

Adding a new subcontractor to your account is a simple process.

1. Navigate to the Manage Contracts page (Setup > Contracts):

2. Click on the Add Subcontractor button:


3. Identify the subcontractor you would like to add, or create a new subcontractor. There are three ways to identify and create a new subcontractor:

a.) If they are already a PositiveWare subcontractor, select them from the Subcontractor drop-down list.

b.) If they are existing PositiveWare users, but not yet a subcontractor, enter their email address into the Search by Email Address field and click Search. (If you are not sure, just try their email address anyway - you will be told if it is not recognized and prompted to try again.)

c.) If they are not currently PositiveWare users, click on the New Account link to create a PositiveWare account for them (click here for details of this procedure).


4. Complete the Add Subcontractor form with your subcontractor's contact details. You can include a personal message in the comments field:

Click the Add Subcontractor button to finish

5. Once you have completed stage 4, your subcontractor will receive an automated email asking them to confirm that they would like to establish a subcontractor relationship with you (click here for details of the acceptance procedure).

Until they confirm this, the subcontrator's status will be shown as Pending on your Manage Contracts page:



Once your subcontractor has confirmed their acceptance, this will change to Accepted:



Creating a New PositiveWare Account for a Subcontractor


If your subcontractor is not an existing PositiveWare user, you will need to create an account for them.

This is simple and can be done as part of the Add Subcontractor process.

1. Click on the New Account link on the Add Subcontractor page:



2. Enter appropriate details into the Add PositiveWare Account form:


3. Your new subcontractor will receive an email welcoming them to PositiveWare and giving them their PositiveWare account login details.


Accepting an Invitation to Become a Subcontractor


If you are invited to become an approved subcontractor to a PositiveWare user, you will receive an email notifying you of this invitation and prompting you to accept or decline this offer:


1. Click on the link in the email to access the contract acceptance page:


2. Choose to Accept, Decline or Cancel the subcontractor invitation (Cancel allows you to return and choose again at a later time).

Note: Accepting this permits the PositiveWare user you are subcontracting for to allocate Plans and Actions to you. However, this acceptance only establishes your relationship - no Plans or Actions are associated with it.

3. You will now be prompted to allocate one or more employees to the contract you have just created. Existing employees are listed on the right:


Choose the employees you would like to add from the drop-down list and click the Select Employee button for each one.

Click Return when you have finished adding employees. You may add as many as you wish, but must have a minimum of one.

4. Your Manage Contracts page will now show your current contract relationships:
